This method for setting up your mappings relies on using the Mappings Pane to identify those items of metadata that you want in your catalog. You have to be able to recognize those items (and understand what they represent) from a list of metadata names, their tag values and tag types.

If the previous paragraph was a bit confusing, you are probably going to find it easier to set up your mappings using the Professional's approach. If that doesn't work, be sure to come back here and give this way a try...

To begin, click on the Mappings item in the command list in FilFolio. You will see something like this (you'll need to scroll the mappings list down to see the red blobs tnokmappingsglyph in the first column):

Click in the different columns to see what they are.

You can sort this display by clicking on the heading of any of the columns.

What you're actually seeing here is all of the possible metadata items that FilFolio can recognize and transfer to your catalog and those marked with red or green blobs are the ones that will be transferred to your Portfolio™ catalog.

Remember, too, that most images in practice contain only a relatively small fraction of these items so it is very easy to set up mappings that will never contain any data! As an example, if none of your images come from a GPS-equipped camera, then it's pointless setting up mappings for the GPSInfo metadata because it will just remain as empty fields in your catalog...

Anyway, the red blobs tnokmappingsglyph signify that the mapping cannot be performed because the Custom Field whose name is shown in the last column does not exist in your Portfolio™ catalog.

To correct this and set up your mappings you need to follow these steps:

1.Decide which items of metadata you want to store in your Portfolio™ catalog. Do this by looking at each Metadata Standard Name (in column 5) and enable the mapping by checking checked the mapping enabled column (column 3) or disable the mapping by unchecking not checked it.  
 
2.Decide whether you want to use the Metadata Standard Names for your custom fields in Portfolio™. If you don't you must edit the Custom Field Name in column 6.  
 
3.Because you'll need to close FilFolio before proceeding, it's a good idea to copy your mappings to a text file. Click on the Action button and then click on the Copy to clipboard menu item as shown here.

Then run Windows Notepad, or whatever your favorite text editor is, and paste the contents of the clipboard into a new document. It will look something like this:

These are the names of the custom fields you must create in Portfolio™.  
 
4.Now you need to make some changes to your Portfolio™ catalog. So, close FilFolio and go to this topic.
