Changes you need to make to your Portfolio™ catalog

Once you've worked your way through Setting up your Mappings, you're well on the way to completing the process. To do that you have to create some custom fields in your Portfolio™ catalog. If you're unsure about custom fields have a look for them in the Portfolio™ help file.

Now follow these steps:

1.Make sure you have closed FilFolio down by clicking the Exit Program button and that Portfolio™ is running in Administrator mode.  
 
2.From the previous topic you should also have Windows Notepad (or the equivalent) open showing your mappings.  
 
3.Now, for each of the lines in your mappings list do this: create a Custom Field in Portfolio™ whose name is exactly the same as the item on the line, the custom field name. Make each of these custom fields of type string and of length 32 as shown in this screenshot of the Portfolio™ Custom Field Definition dialog.

Remember though that "32" may not be large enough if you are mapping several metadata items to this one field and that a suitably larger number might be better (see Getting the most out of Metadata for more information about that.)  
 
4.When you've finished step 3, you can run FilFolio again (from the Portfolio™ Scripts menu). If you've made a mistake in creating those custom fields, you will see the error dialog again saying that your catalog doesn't have the right customs fields in it. What you need to do is go back to Setting up your Mappings and follow the instructions to find those mappings that still have a red blob tnokmappingsglyph against them.  
 
If all you see is the Information pane, congratulations - you've set up your mappings correctly! And if you look at the Mappings pane, you will see something like this.

The green blobs tokmappingsglyph show that the mapping is OK.  
 
5.You are now ready to extract the metadata from your image files and store it into your Portfolio™ catalog. Please go to the next topic Adding the Metadata to see how this is done.
